How do I build an email and SMS follow-up sequence in the workflow builder?

  1. Create an agent (start from scratch is fine). Agents hold workflows, and an agent can have as many workflows as you like.
  2. Add a workflow and choose a trigger, for example Manual if you will add people by hand, a form submission, a schedule such as daily at 9 AM, or conversation started.
  3. Search for and add steps, then connect them: send an email, wait (set how long), send an SMS, wait, send another email and so on. You can add an outbound call step too. Include your booking link where it helps.
  4. For each message, write your own content in the simple text editor or the visual email builder, which has many templates, or use AI generated content. If you are out of ideas, click Build email with AI. Workflows can also write personalized emails, for example based on a contact's notes.

A message sent by a workflow works as an opening message. If the agent has that channel switched on (the SMS phone number or the email), the AI replies when someone responds, following the agent's prompt: who it is, its goal (for example answer questions and get them to book with your booking link) and FAQs written as questions and answers.

To stop the sequence when someone books, add a second workflow in the same agent with the Appointment scheduled trigger and a step that deactivates the contact from all workflows in this agent.

You can also ask the AI assistant to build the sequence, but knowing the manual way lets you edit and tweak it. For larger email campaigns with deliverability handling, use email agents instead of workflow email steps.
